We may collect personal information directly from you, automatically through our website, or from third-party tools and service providers we use to operate our business.
Information we collect may include:
Personal contact information, such as your name, email address, phone number, business name, role, and mailing or billing address.
Business and inquiry information, such as your company, industry, location, revenue range, social media activity, marketing needs, service interests, goals, challenges, and information you submit through contact forms, lead forms, downloads, quizzes, audits, questionnaires, or scorecards.
Payment and billing information. When you pay an invoice, save a payment method, or set up recurring billing, payment information is processed through our third-party payment processor, Stripe. We may receive limited billing information such as your name, billing address, email address, payment method type, last four digits, expiry date, transaction status, and payment history. We do not store full credit card numbers or full banking credentials on our own systems. If you authorize us to enter payment information on your behalf, we enter it directly into Stripe and do not record or store the full payment details elsewhere.

Client service information, such as brand assets, social media handles, account access details, intake form responses, project information, approvals, feedback, communications, content references, and other information needed to perform our services.
Derived information, such as summary scores, segments, fit categories, or internal notes created from information you provide or from your use of our website, forms, interactive tools, or services.

AI-Assisted Tools
Sproutly may use artificial intelligence tools and other software tools to support internal research, drafting, ideation, content planning, reporting, workflow development, analysis, and service delivery.
Where personal information or confidential client information is processed through AI-assisted tools, we use reasonable internal safeguards designed to limit the input of identifiable information except where reasonably necessary for the relevant purpose. Where practical, we use business-grade tools that are designed not to train public models on customer inputs.
AI-assisted outputs used in client-facing work are reviewed by a Sproutly team member before being shared externally. AI tools support our work, but they do not replace Sproutly’s professional judgment or human review.

These technologies may include:

Other third parties with your consent or as otherwise permitted or required by law.
We require service providers to use personal information only for the purposes for which it was provided and to maintain appropriate safeguards, subject to their own legal obligations and service terms.
International Data Transfers
Some of our service providers may store or process personal information outside Canada, including in the United States or other jurisdictions.
When personal information is transferred outside Canada, it may be subject to the laws of the jurisdiction where it is stored or processed, including lawful access requests by courts, law enforcement, regulators, or government authorities in that jurisdiction.

We use reasonable technical, administrative, and organizational safeguards designed to protect personal information against unauthorized access, use, disclosure, loss, theft, alteration, or misuse.
These safeguards may include secure third-party platforms, access controls, password management tools, multi-factor authentication where appropriate, internal access limits, and secure payment processing through Stripe.
No method of transmission, processing, or storage is completely secure. We cannot guarantee absolute security.
Privacy Breach Notification
If we become aware of a breach of security safeguards involving personal information under our control, we will assess the breach and take steps we consider reasonable in the circumstances.
Where legally required, including where a breach creates a real risk of significant harm, we will notify affected individuals, applicable privacy regulators, and any other required parties in accordance with applicable law. Notifications may include information about the nature of the breach, the information involved, steps taken to reduce risk, and steps individuals may take to protect themselves.
Data Retention
We retain personal information only for as long as reasonably necessary to fulfill the purposes described in this Privacy Policy, provide our services, maintain business records, comply with legal, tax, accounting, and regulatory obligations, resolve disputes, enforce agreements, and support business continuity.
Different categories of information may be retained for different periods. For example, client agreements, invoices, payment records, tax records, and dispute-related records may be retained longer than website inquiry records or marketing form submissions where required for business, legal, accounting, or regulatory purposes.
When personal information is no longer required, we will delete, anonymize, or securely dispose of it using reasonable safeguards.
Marketing Communications and CASL
Where permitted by law, we may send you electronic communications, including responses to your inquiries, resources you requested, service-related messages, billing notices, administrative messages, and marketing communications.
We send commercial electronic messages only where we have consent or another lawful basis to do so. Marketing emails will include an unsubscribe mechanism where required. You may unsubscribe from marketing communications at any time by using the unsubscribe link included in those messages or by contacting us at legal@sproutlysocial.com.
Unsubscribing from marketing communications does not prevent us from sending transactional, administrative, billing, legal, or service-related communications.
